At https://www.memberswarehouse.com.au ("Members Warehouse", "we", "us", "our"), we are committed to protecting your privacy as a customer and an online visitor to our website. We use the information we collect about you to maximise the services that we provide to you. We respect the privacy and confidentiality of the information provided by you and adhere to the Australian Privacy Principles. Please read our privacy policy below carefully.

Information We Collect From You

In the course of your visits to our website or use of our products and services, we may obtain the following information about you: name, company name, email address, telephone number, credit card details, billing address, geographic location, IP address, survey responses, support queries, blog comments and social media handles (together 'Personal Data').

Our services are not directed to persons under 18 and we do not knowingly collect Personal Data from anyone under 18. If we become aware that a child under 18 has provided us with Personal Data, we will delete that information as quickly as possible. If you are the parent or guardian of a child and you believe they have provided us with Personal Data without your consent, then please contact us.

You can review, correct, update or delete your Personal Data by either logging into your account and making the changes yourself or contacting us directly to do so.

Account Holders & Listing Information

When you register for an account or use our services, we may collect:

• Full name and email address
• Phone number (if provided)
• Billing and payment information (processed securely by our third-party payment provider — we do not store full card details)
• Vehicle listing details you provide
• Messages and inquiries sent through our platform
• Profile information and account preferences

Dealer Buyer Network — Additional Information

If you register for our Dealer Buyer Network, we also collect:

• Business name and ABN
• Trading address and service radius
• Preferred vehicle buying criteria (makes, price range, kilometres, year)
• Notification preferences (email/SMS frequency)
• Communications and enquiries you make about listings

Quote Tool — Information Collection & Sharing

When you use our Quote Tool (either as a standalone subscription or as part of the Tradie Pro plan), we collect and process the following information to generate, deliver, and store your professional quotes:

• Your business details — business name, ABN, license number, contact name, phone, email, business address
• Customer details — names, email addresses, and addresses you input when creating a quote
• Quote contents — scope of work, line items, pricing, inclusions/exclusions, payment terms, warranty terms, and personal messages
• Quote status tracking — when quotes are sent, viewed by the customer, accepted, or declined

This information is used solely to:

• Generate the professional quote document
• Deliver the quote to your customer by email
• Provide you with a copy of every quote sent
• Maintain your quote history dashboard for your records
• Notify you when your customer accepts or declines a quote

We do NOT share quote contents with third parties, advertisers, or marketing services. Customer email addresses you enter into the quote system are used only for delivering that specific quote — we do not add them to our mailing lists or contact them for any other purpose.

Quick Sale Listing — Information Sharing

When you purchase a Quick Sale add-on for a vehicle listing, we share the following with matched dealers in our Buyer Network for the purpose of facilitating the private sale:

• Vehicle details (make, model, year, kilometres, condition, photos, asking price)
• Your contact name, email address, and phone number
• General location (suburb and state)

Quick Sale dealers are bound by our Terms of Service and may only use this information to contact you about purchasing the listed vehicle. You may opt out of Quick Sale broadcast by contacting Admin@memberswarehouse.com.au.

Automatically Collected Information

When you visit our site, we automatically collect:

• IP address and browser type
• Pages visited and time spent on pages
• Referring URLs and device information
• Cookies and similar tracking technologies

Specific Service Providers We Use

We use trusted third-party service providers to operate Members Warehouse. These providers are contractually bound to handle your information securely and only for the purposes we engage them for. The categories of service providers we use include:

• Payment processing (Stripe) — securely handles subscription payments and any other transactions
• Cloud hosting and database (Supabase, Netlify) — stores your account data, listings and platform content
• Email delivery (Resend, Titan Email) — sends transactional emails such as confirmations, notifications and password resets
• SMS delivery (ClickSend) — sends text message notifications where you've opted in
• Postage and shipping rate calculation (Australia Post API) — provides shipping cost estimates for marketplace items (where applicable)
• Analytics — helps us understand how the platform is used so we can improve it

Visibility to Other Users

When you create a listing, information you provide (such as vehicle details, photos and contact preferences) is visible to other users of the platform.

Security & Account Protection

Members Warehouse takes security seriously. Here's what you should know to keep your account safe.

What we'll never do

• We'll never ask for your password by email, SMS, or phone
• We'll never ask for your full credit card number or CVV — payments are processed securely by our third-party payment provider
• We'll never ask for your banking PIN or online banking login
• We'll never ask you to send money to a personal account, gift card, or cryptocurrency wallet
• We'll never call or message asking you to "verify" your account by providing sensitive information

What we'll always do

• All official emails from Members Warehouse come from @memberswarehouse.com.au addresses
• All login and account changes happen on memberswarehouse.com.au — check the URL in your browser
• We use industry-standard encryption (HTTPS) on every page that handles your information
• Your password is stored as a one-way hash — even our staff cannot see it

If something seems off

If you receive a suspicious email, SMS, or phone call claiming to be from Members Warehouse:

1. Don't click any links or reply
2. Don't enter any account details
3. Forward the message to admin@memberswarehouse.com.au so we can investigate
4. If you've already entered details, change your password immediately and contact us

Reporting fraud or scams

If you believe you've been targeted by a scam involving Members Warehouse, report it to us, to Scamwatch (scamwatch.gov.au), and to your bank if money was involved.

Data Retention

We retain your personal information for as long as your account is active or as needed to provide services. You may request deletion of your account and associated data by contacting us.

Your Rights

Under Australian Privacy Law you have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your personal information
• Opt out of marketing communications
• Lodge a complaint with the Office of the Australian Information Commissioner (OAIC)

Cookies

We use cookies to maintain your session, remember your preferences and analyse site traffic. You can disable cookies in your browser settings but this may affect site functionality.

Children's Privacy

Members Warehouse is intended for adults aged 18 and over only. Our platform is not directed at, marketed to, or designed for children.

We do not knowingly collect or store personal information from any person under the age of 18. If we become aware that we have inadvertently collected personal information from a person under 18, we will:

• Suspend or terminate the associated account
• Delete the personal information from our systems
• Take reasonable steps to prevent further use of the platform by that person

If you are a parent or guardian and you believe your child has provided personal information to Members Warehouse, please contact us immediately at admin@memberswarehouse.com.au and we will take prompt action to remove the data.

Giveaways involving minors: Where Members Warehouse runs promotions that may include 16-17 year-old participants (such as trade school giveaways), we collect minimum necessary information with verifiable parental or guardian consent. This information is used solely for prize verification and delivery and is deleted after the giveaway concludes.

Parents and legal guardians are responsible for monitoring their children's online activity. If a minor falsely declares their age and uses the platform, Members Warehouse cannot be held responsible for any consequence of that misuse.

How We Use Your Information

Personally Identifiable Information: We use the information we collect to deliver our services to you, including: communicating with you, providing technical support, notifying you of updates and offers, sharing useful content, measuring customer satisfaction, diagnosing problems and providing you with a personalised website experience.

Marketing communications are only sent to you if you have requested or subscribed to them. You can opt out of our marketing communications at any time by unsubscribing or emailing us and your request will be actioned immediately.

Non-Personally Identifiable Information: We also use the information we collect in aggregated and anonymized forms to improve our services, including: administering our website, producing reports and analytics, advertising our products and services, identifying user demands and assisting in meeting customer needs generally.

Any information you choose to make publicly available, such as blog comments, reviews and testimonials on our website, will be available for others to see. If you subsequently remove this information, copies may remain viewable in cached and archived pages on other websites or if others have copied or saved the information.

Storage and Security of Your Information

We will use all reasonable means to protect the confidentiality of your Personal Data while in our possession or control. All information we receive from you is stored and protected on our secure servers from unauthorised use or access. Credit card information is encrypted before transmission and is not stored by us on our servers.

To enable us to deliver our services, we may transfer information that we collect about you, including Personal Data, across borders for storage and processing in countries other than Australia. If your Personal Data is transferred and processed outside Australia, it will only be transferred to countries that have adequate privacy protections.

We retain your personal information for as long as needed to provide services to you and as otherwise necessary to comply with our legal obligations, resolve disputes and enforce our agreements.

In the event there is a breach of our security and your Personal Data is compromised, we will promptly notify you in compliance with the applicable law.

Employment Service — Resume & Application Data

The following additional terms apply to data collected through the Members Warehouse Employment service (the job board for employers and job seekers).

What we collect from job seekers

• Your name, contact email, and phone number (if provided) when you submit a job application.
• Cover letters and answers to employer-specific custom questions.
• Resumes uploaded to our secure cloud storage (PDF, DOC, or DOCX).
• Application status history (submitted, reviewed, shortlisted, interviewed, hired, rejected).
• Optional job seeker profile data: headline, skills, experience years, preferred work types, and preferred locations (only if you choose to fill in your profile).

How application data is used

• Resumes are visible only to the specific employer you apply to and to Members Warehouse staff for moderation, support, and platform integrity purposes. Resumes are not shared more broadly, indexed publicly, or sold to third parties.
• Applications are sent only to the employer for the specific job listing you applied to. We do not forward, sell, or otherwise share applicant data to other employers, recruitment agencies, or third parties.
• If you tick "Open to offers" on your job seeker profile, employers searching the platform may see your public profile (headline, skills, experience) — but never your resume, contact details, or specific employer history without your explicit application.

Resume retention

Uploaded resumes are stored securely and retained for a reasonable period after application submission to support the recruitment process (typically 12 months unless required for ongoing recruitment activity). You may delete your uploaded resume at any time from your job seeker dashboard. Deleting your account removes all resumes and application history.

What employers must do

Employers using the Members Warehouse Employment service are contractually required (under our Terms of Service) to handle applicant data in accordance with the Australian Privacy Principles. Specifically, employers must:

• Use applicant data only for the specific recruitment purpose for which it was submitted.
• Not share applicant data with third parties without the applicant's consent.
• Securely delete applicant data when no longer required.
• Not contact applicants for marketing, unsolicited recruitment, or any purpose unrelated to the role they applied for.

If you believe an employer has misused your application data, please contact Admin@memberswarehouse.com.au immediately. We investigate all complaints and reserve the right to remove employers from the platform for misuse.

Worker Profile data (Phase 2)

If you choose to build a Worker Profile, we collect and store the following:

• Profile content: headline, "about" description, skills, work types preferred, categories, experience years, qualifications/licences, preferred state and suburb, available-from date.
• Visibility settings: the value of each visibility toggle (Open to Offers, Allow direct contact, Show photo, Show contact details), so we know what to display and to whom.
• Optional contact details: full name, contact email, phone number, and auto-reply message. These are PRIVATE by default and only shown to employers if you explicitly tick "Show my contact details on my profile".
• Optional photo: if you upload a profile photo, it is stored securely in our seeker-photos storage bucket and only displayed publicly when "Display my photo publicly" is ticked. Unticked photos are stored privately and never shown to employers.
• Profile activity metadata: view count, last-active timestamp, and a generated public URL slug.

You can edit any field, change any visibility toggle, or delete the entire profile at any time from the My Worker Profile page. Profile deletion removes the profile from search and disables associated job alerts.

Direct Messaging data (Phase 3)

When you send or receive a direct message between an employer and a worker through the platform, we store:

• Message content: the body, subject (if any), sender, recipient, and timestamp of each message.
• Thread state: read/unread status, archive status, and the unique identifier of the conversation.
• Worker contact log: a per-month record of which employer first contacted which worker, used to enforce monthly contact-credit limits and the daily rate cap (5 new contacts per day).
• Auto-reply content: if a worker has set an auto-reply message, that text is stored and sent automatically when an employer first contacts them.

Message visibility. Messages are visible only to the two parties in the thread and to Members Warehouse staff (for moderation when a report is filed, and for support purposes only). Messages are not shared with third parties, indexed publicly, or used for marketing.

Off-platform communication. If you and another user exchange off-platform contact details (phone, personal email, social media) within a message, those communications occur outside the platform and are no longer logged or moderated by Members Warehouse.

Block and Report data

When you block another user or submit an abuse report, we record:

• Blocks: the worker who issued the block, the employer who was blocked, an optional reason, and the timestamp. Blocked employers cannot send further messages to the blocking worker.
• Reports: the reporter's identifier, the reported user's identifier, the report category (spam, harassment, discrimination, scam, inappropriate content, fake listing, or other), free-text details, the related thread (if applicable), and the timestamp.
• Admin notification: when a report is submitted, a notification email is sent to our admin team at Admin@memberswarehouse.com.au for review.

Block and report records are retained for a reasonable period (typically 24 months) to support pattern detection, repeat-offender identification, and dispute resolution. These records are not deleted when a user deletes their own profile, to prevent abuse of the deletion mechanism to evade enforcement.

Daily Job Alerts data

If you opt in to daily job alerts, we store your alert preferences (categories, states, work types, minimum pay, keywords, remote-OK flag, enabled status, and delivery method) and a log of which job IDs have already been sent to you (so we don't send duplicates in later digests). You can disable alerts at any time from the Job Alerts settings page or via the one-click unsubscribe link in any digest email.

Worker Profile data retention

Worker Profiles, messages, blocks, reports, and alert preferences are retained while your account is active. Deleting your Worker Profile removes the profile from search and from public view. Direct messages may persist for the other party's records. Abuse-prevention records (blocks, reports, contact logs) are retained for up to 24 months even after profile deletion to support platform safety. Full account deletion follows the broader account-deletion process described elsewhere in this Privacy Policy.

Employer data

Employer profiles (company name, ABN, industry, contact details, website, about) are stored to support job listings and verification. Verified employer status (ABN-checked) is publicly displayed on listings and the employer's company page. Employer billing details are handled by Stripe and not stored by Members Warehouse.

Cookies and Pixels

A cookie is a small file placed in your web browser that collects information about your web browsing behaviour. Use of cookies allows a website to tailor its configuration to your needs and preferences. Cookies do not access information stored on your computer or any Personal Data (e.g. name, address, email address or telephone number). Most web browsers automatically accept cookies but you can choose to reject cookies by changing your browser settings. This may, however, prevent you from taking full advantage of our website.

Our website uses cookies to analyse website traffic, provide social media sharing and liking functionality and help us provide a better website visitor experience. In addition, cookies and pixels may be used to serve relevant ads to website visitors through third party services such as Google Ads and Facebook Adverts. These ads may appear on this website or other websites you visit.

Sharing Your Information With Third Parties

We do not and will not sell or deal in Personal Data or any customer information.

Your Personal Data details are only disclosed to third party suppliers when it is required by law, for goods or services which you have purchased, for payment processing or to protect our copyright, trademarks and other legal rights. To the extent that we do share your Personal Data with a service provider, we would only do so if that party has agreed to comply with our privacy standards as described in this privacy policy and in accordance with applicable law. Our contracts with third parties prohibit them from using any of your Personal Data for any purpose other than that for which it was shared.

Disclosure of Your Information

We may from time to time need to disclose certain information, which may include your Personal Data, to comply with a legal requirement, such as a law, regulation, court order, subpoena, warrant, in the course of a legal proceeding or in response to a law enforcement agency request. Also, we may use your Personal Data to protect the rights, property or safety of Members Warehouse, our customers or third parties.

If there is a change of control in one of our businesses (whether by merger, sale, transfer of assets or otherwise) customer information, which may include your Personal Data, could be transferred to a purchaser under a confidentiality agreement. We would only disclose your Personal Data in good faith and where required by any of the above circumstances.
